Position: Full time, M-F 8-5 with occasional weekends
Location: Longwood, Florida (On-site)

POSITION SUMMARY

The Assistant Operations Manager plays a key role in daily operations, representing D & A Building Services across multiple client locations. You’ll oversee frontline personnel, ensure quality standards are met, maintain budgets, coordinate schedules, conduct inspections, and build positive relationships with clients.

This position works closely with the Operations Manager and is ideal for someone who enjoys a fast-paced environment, problem-solving, and being hands-on in the field.

RESPONSIBILITIES

Location & Budget Oversight

  • Manage multiple assigned locations within established budgets

  • Oversee allocation and control of:

    • Work schedules for account personnel

    • Sanitary supplies (toilet tissue, paper towels, liners, etc.)

    • Cleaning supplies, equipment, machinery, and safety equipment

  • Maintain a sanitary, attractive, and orderly environment across all locations

Scheduling, Documentation & Work Orders

  • Prepare and maintain daily, monthly, quarterly, semi-annual, and annual work schedules

  • Keep accurate logs of completed work and required follow-ups

  • Complete and monitor timekeeping procedures for assigned employees, including documentation for missing time

  • Prepare paperwork for work orders as needed

  • Prepare company documents for new hires, rate changes, terminations, and transfers

Inspections, Quality Control & Corrective Action

  • Conduct routine inspections at customer locations (minimum of 10 per week)

  • Identify unsatisfactory work and implement corrective and preventative actions

  • Provide completed inspection reports—and action plans when needed—to the Operations Manager

  • Maintain inspection files, logs, and records

  • Follow up with customers regarding complaints, concerns, and corrective actions

  • Ensure Area Managers provide appropriate follow-up on issues reported by customers

Staff Leadership & Support

  • Train, coach, counsel, and discipline assigned staff according to company policies

  • Oversee day porters and day cleaners, coordinating replacement staff as needed

  • Support personnel with additional tasks or special project work

Client Relationship Management

  • Meet regularly with customers to gather feedback on services provided

  • Maintain strong communication with customers and facility personnel

  • Track and address complaints, special requests, emergency services, and additional work needs

  • Maintain communication logs and ensure thorough follow-through

QUALIFICATIONS

Education & Experience

  • Two-year college degree and 3–5 years of janitorial industry experience with direct operational responsibilities
    OR an equivalent combination of experience and training demonstrating the required knowledge and abilities

Technical & Professional Skills

  • Proficient with Microsoft Office (Word, Excel, Outlook, PowerPoint)

  • Strong written and verbal communication skills

  • Strong interpersonal skills and ability to work with employees and customers at all levels

  • Demonstrated general business proficiency

Physical Requirements

  • Ability to walk or stand for extended periods

  • Ability to bend, stoop, reach, and lift up to 50 lbs

  • Ability to work safely with potential exposure to chemicals requiring protective equipment

COMPENSATION & BENEFITS

Pay: $48,000 - $50,000 Annually, with opportunity to earn more with bonus
