Operations Coordinator

Position Overview

As the Operations and Communications Coordinator, you will manage guest communication, coordinate with cleaners and maintenance vendors, and ensure every property is guest-ready and operating smoothly.

This role requires strong organization, proactive communication, and the ability to manage multiple moving parts in a fast-paced hospitality environment.

You will work closely with ownership and operations leadership to maintain service standards and continuously improve systems.

Key Responsibilities

Guest Experience & Communication

  • Manage all guest communication, including inquiries, issues, and reservation adjustments

  • Respond quickly and professionally to guest concerns and questions

  • Coordinate solutions to minimize complaints and refunds

Operations & Property Readiness

  • Ensure cleanings are completed on time prior to guest arrival

  • Monitor cleaning completion and quality in Breezeway

  • Confirm cleaners accept tasks and arrive as scheduled

Maintenance Coordination

  • Track all maintenance requests and vendor repairs

  • Report issues to vendors and ensure timely resolution

  • Manage urgent issues that impact guest experience

Inventory & Supply Management

  • Track property supplies and reorder when needed

  • Coordinate supply deliveries with cleaners and vendors

Property Oversight

  • Track property issues and improvement opportunities from guest feedback and reviews

  • Conduct property inspections and occasional property visits

Team Coordination

  • Work closely with cleaners, vendors, and leadership to maintain operational excellence

  • Support onboarding tasks and operational improvements

Required Qualifications

  • 1+ years previous short-term rental or property management experience

  • AirBnb and VRBO platform experience is a must

  • Strong written communication skills with a professional hospitality tone

  • Ability to work independently and make decisions without constant supervision

  • Excellent organizational skills and ability to prioritize competing tasks

  • Comfortable working evenings and weekends

  • Tech-savvy and comfortable learning new software platforms

  • Open to coaching and continuous improvement

Preferred Qualifications

  • Orlando, FL local candidates preferred

  • Experience with Breezeway or similar operations platforms

  • STR software experience (Guesty, Hostaway, Hospitable, etc.)

  • Experience coordinating cleaners and vendors

  • Operations or logistics background

  • Familiarity with typical household maintenance needs and repair issues

Compensation & Benefits

Annual Salary - $40,000 (W-2 employee)

  • Performance Bonus potential

Schedule: 10 am to 7 pm EST, Some Weekends and Holidays required
