Position Summary

Vacation Perfect is seeking a personable, detail-oriented Reservations Agent to join our remote team and help travelers plan exceptional stays in London, Paris, and Italy.

In this role, you'll manage guest inquiries by phone and email, recommend properties based on each traveler's needs, provide pricing and availability, convert inquiries into reservations, and support guests throughout the booking process. You'll also handle reservation changes, payments, follow-up, and administrative details that ensure every booking is accurate and every guest receives responsive, personalized service.

Responsibilities

  • Respond promptly and professionally to guest inquiries by phone and email

  • Understand travelers' needs and recommend properties, destinations, and booking options that best fit their stay

  • Provide accurate information regarding pricing, availability, properties, locations, and reservation policies

  • Convert qualified inquiries into reservations through knowledgeable, personalized service and timely follow-up

  • Create and manage reservations, including processing payments, confirmations, modifications, and cancellations

  • Assist guests with questions and concerns before booking, after booking, and when needed during their stay

  • Follow up on leads, travel details, payments, and other information required to complete reservations

  • Troubleshoot booking or technical issues and coordinate solutions when necessary

  • Maintain accurate guest and reservation information across booking systems, platforms, and internal records

  • Complete scheduled phone and email coverage while meeting company communication and response-time expectations

  • Identify recurring guest or reservation issues and share opportunities for process improvement with the Reservations Manager

  • Communicate effectively with the Reservations Manager and other members of the remote reservations team

  • Provide general administrative support as needed

  • Represent Vacation Perfect with warmth, professionalism, and exceptional customer service

Required Qualifications

  • At least 1 year of experience in sales, reservations, customer service, or guest services

  • Excellent written and verbal English communication skills

  • Confident, professional, and personable phone presence

  • Strong sales and customer service instincts with the ability to understand guest needs and recommend appropriate solutions

  • Exceptional attention to detail and accuracy

  • Highly organized with the ability to manage multiple guest inquiries and reservations simultaneously

  • Dependable, accountable, and comfortable working independently in a remote environment

  • Strong computer proficiency and ability to quickly learn reservation systems and software

  • Ability to collaborate effectively with a small remote team

  • Availability to work the required weekday, rotating weekend, and U.S. public holiday coverage

  • Quiet, dedicated workspace with secure high-speed internet and a reliable backup internet option

Preferred Qualifications

  • Previous experience in vacation rentals, hospitality, travel, or reservations

  • Experience converting inbound inquiries or leads into bookings or sales

  • Strong listening and questioning skills with the ability to identify what a traveler is looking for

  • Warm, enthusiastic, and polished guest communication style

  • Additional language skills, particularly French or Italian

Hourly Rate: $19.00–$21.00 USD per hour, based on experience

Schedule:

  • Monday–Friday, approximately 9:30 AM–4:30 PM ET

  • Scheduled phone coverage generally occurs between 10:00 AM–4:00 PM ET

  • Two Saturday shifts per month, approximately 9:30 AM–2:30 PM ET

  • Approximately 1–2 weekend email coverage rotations per month

  • Some U.S. public holiday availability is required

  • Occasional extended weekday availability may be needed depending on assigned email coverage

  • The Reservations Team shares responsibility for 24-hour email coverage, with coverage periods divided among approximately 3–4 team members.
