Position Summary
We are looking for a highly organized, detail-oriented Sales Operations Administrator to support our Business Development team. This role is responsible for keeping our sales engine running smoothly by maintaining CRM accuracy, coordinating appointments, preparing sales materials, organizing prospect information, and ensuring consistent follow-up throughout the sales process.
The ideal candidate thrives in a fast-paced environment, enjoys working behind the scenes to improve efficiency, and takes pride in creating organized, repeatable processes. This position works closely with Sales, Onboarding, and Homeowner Operations to ensure a seamless experience from first contact through client onboarding.
Key Responsibilities
Manage calendars and coordinate meetings for the Business Development team.
Schedule appointments and maintain professional communication with prospective clients.
Maintain CRM hygiene by ensuring records are complete, accurate, and up to date.
Support sales pipeline management by updating opportunities, tracking stages, and ensuring data integrity.
Conduct contact research and enrichment to improve prospect profiles.
Prepare pre-call summaries, research, and briefing materials for sales meetings.
Document meeting notes and create clear post-call action items and follow-up tasks.
Monitor follow-up compliance to ensure no opportunities fall through the cracks.
Build comprehensive profiles of prospective and existing clients to support smooth handoffs between Sales, Onboarding, and Homeowner Operations.
Organize and segment opportunities using key business criteria to support targeted outreach campaigns.
Coordinate with multiple departments to gather information and keep projects moving.
Identify opportunities to improve administrative processes and sales workflows.
Perform additional administrative and operational support tasks as needed.
Required Qualifications
2+ years of experience mandatory in a Sales Operations, Sales Administration, Executive Assistant, Virtual Assistant, or CRM support role.
Experience working with a CRM platform, preferably HubSpot.
Strong organizational skills with exceptional attention to detail.
Excellent written and verbal English communication skills.
Professional phone etiquette and confidence interacting with prospective clients.
Ability to manage multiple priorities while maintaining accuracy.
Strong proficiency with Google Workspace or Microsoft Office.
Comfortable learning new software and systems quickly.
Self-motivated with the ability to work independently in a fully remote environment.
Preferred Qualifications
Experience supporting a sales or business development team.
HubSpot CRM experience.
Experience preparing executive briefings or meeting summaries.
Familiarity with sales pipeline management and reporting.
Experience working remotely with distributed teams.

Compensation & Benefits
Monthly Salary: $1000 - $1200 monthly
