Position Summary
We're looking for a proactive, service-driven Medical Office Manager to lead the day-to-day operations of one of our specialty hyperbaric oxygen therapy and wound care clinics.
This is a true leadership role for someone who enjoys building strong teams, improving processes, and creating an exceptional patient experience. You'll serve as the operational leader of the clinic, ensuring the office runs efficiently while supporting both patients and staff. Working closely with executive leadership, providers, and the Medical Director, you'll oversee clinic operations, manage non-clinical staff, maintain compliance, and drive continuous improvement.

What You'll Do
Lead the clinic with a servant-leadership mindset, fostering professionalism, accountability, and teamwork.
Supervise, coach, and develop non-clinical team members while managing performance and day-to-day operations.
Conduct regular team huddles to align staff, communicate priorities, and resolve operational challenges.
Coordinate physician schedules, staffing coverage, and daily workflow to ensure an efficient patient experience.
Identify operational bottlenecks and implement process improvements that enhance efficiency and patient satisfaction.
Validate payroll, review timecards, PTO, and attendance, and communicate staffing concerns to leadership.
Ensure the clinic remains clean, organized, safe, and compliant with HIPAA, OSHA, and company standards.
Manage office supplies and coordinate clinical supply needs with medical leadership.
Support hiring, onboarding, staff development, and ongoing training initiatives.
Maintain audit-ready documentation, credentialing support, and secure handling of confidential records.
Monitor operational metrics and provide regular reporting to executive leadership.
Build and maintain relationships with referring physicians through regular community outreach.
Partner with executive and clinical leadership to implement standard operating procedures and support organizational goals.
Required Qualifications
Previous experience managing a medical office or healthcare clinic, or serving in a leadership role ready to step into office management.
Demonstrated success leading, coaching, and holding a team accountable.
Strong understanding of medical front-office operations, including scheduling, insurance verification, prior authorizations, and patient flow.
Experience using EMR systems and standard office technology.
Excellent organizational and multitasking skills with the ability to prioritize in a fast-moving environment.
Strong problem-solving skills with sound judgment and professionalism.
Outstanding communication and customer service skills.
Reliable, dependable, and takes ownership of responsibilities.
Preferred Qualifications
Experience in a specialty medical practice, wound care clinic, or hyperbaric oxygen therapy (HBOT) setting.
Experience developing or implementing standard operating procedures (SOPs).
Demonstrated success improving operational or patient care metrics.
Experience with RXNT or a similar electronic medical record (EMR) system.
Bilingual in English and Spanish.
