Position Summary

We are seeking an organized, detail-oriented Homeowner Support Assistant to join our team at this pivotal time of growth. Reporting to the Homeowner Support Lead, you will provide essential administrative and coordination support that keeps our homeowner communications running smoothly and efficiently.

In this role, you will assist with day-to-day correspondence, help maintain accurate records, and coordinate with internal departments to ensure homeowner requests are routed and resolved in a timely manner. While the Homeowner Support Lead manages primary account relationships and communications, you will play a key supporting role in helping the team deliver the responsive, high-quality service our brand is known for.

Key Responsibilities

• Provide administrative support to the Homeowner Support Lead by assisting with day-to-day management of homeowner account communications.

• Draft, format, and send routine email correspondence to homeowners under the Homeowner Support Lead's direction.

• Monitor shared inboxes and messaging platforms, flag time-sensitive items, and respond to straightforward inquiries.

• Create and track service tickets for maintenance issues, housekeeping requests, and other property needs, following up to confirm resolution.

• Coordinate with internal departments—including guest services, maintenance, and housekeeping—to route requests to the right teams and complete them on schedule.

• Maintain accurate, up-to-date homeowner records in the CRM and internal systems.

• Compile and format routine reports on booking activity, service ticket status, and homeowner communications for review by the Homeowner Support Lead.

• Help gather and organize homeowner feedback and survey responses for team review.

• Support the administrative aspects of onboarding new homeowners and properties as we expand into new markets.

• Handle general administrative tasks, including scheduling, document preparation, and data entry, to support smooth team operations.

Required Qualifications

• 1+ year of administrative, customer service, or coordination experience (hospitality or property management a plus, but not required).

• Strong written and verbal communication skills, with a professional and courteous approach to correspondence.

• Highly organized with strong attention to detail and the ability to manage multiple tasks and priorities.

• Comfortable coordinating across teams and following up to ensure tasks are completed.

• Proficiency with computer systems, including email, spreadsheets, and CRM tools (or willingness to learn).

• A positive, service-oriented attitude and eagerness to learn and grow.

• Ability to work reliably and accountably in a remote environment.

Preferred Qualifications

• Vacation rental or short-term rental experience.

• Experience with Streamline, OwnerRez, Breezeway, Guesty, or similar platforms.

• Real estate, hospitality, or luxury service background.

• Knowledge of Galveston and Crystal Beach vacation rental markets.
